Receptionist / Administrative Assistant – Burnaby

We are working with one of the world's fastest-growing commercial real estate firms to add a Receptionist / Administrative Assistant to join their impressive Burnaby office. This diverse organization offers a range of services to owners and occupiers, including investment sales, leasing, advisory, management and financing.

Forming part of an established team and working with an impressive client base, you will provide clerical support to the commercial property management team.

You Will:

  • Manage switchboard, routing calls, incoming faxes and courier packages

  • Assist operations staff, tenants, contractors and outside agencies with general enquiries

  • Maintain and update tenant contact information, distribution lists, certificates of insurance and back flow prevention records

  • Assist with the administration and tracking of tenant move-ins and move-outs, and service contract documentation

  • Process daily outgoing mail and retrieve incoming mail

  • Manage boardroom bookings, catering requests, ensure meeting room, boardroom and kitchen remain tidy

  • Receive, screen and respond to operational telephone calls, e-mails and update various databases, including business contacts

  • Work with the team to draft professional Tenant communications and monthly Tenant newsletter, maintain the web site, e-directories on site, and elevator tv screen content

  • Assist with the coordination of tenant appreciation and staff functions

You Have:

  • 1+ years of administrative experience with general administrative knowledge

  • Post-secondary education required or equivalent experience

  • Excellent skills in Microsoft Suite of programs, experience using mail merge an asset

  • Excellent oral & written communication and presentation skills; ability to develop and sustain cooperative working relationships

  • A professional phone manner

  • Excellent customer service skills

  • Team spirit and commitment to continuous quality improvement

  • Excellent organizational skills and an eye for detail
