Commercial Property Administrator – Burnaby

We are working with one of the world's fastest-growing commercial real estate firms to add a Commercial Property Administrator to join their impressive Burnaby office. This diverse organization offers a range of services to owners and occupiers, including investment sales, leasing, advisory, management and financing.

Forming part of an established team and working with an impressive client base, you will provide support to the property management team, responsible for over 500,000 sq ft of high specification office space.

You will:

  • Provide support for all aspects of day-to-day activities for assigned buildings in portfolio and the office

  • Respond to incoming calls to assist operations staff, tenants, contractors and outside agencies with general enquiries and/or direct their call to the appropriate person

  • Monitor Angus Anywhere for incoming service calls to ensure prompt response and escalation if required

  • Work with the team to draft professional Tenant communications and monthly Tenant newsletter, maintain the website, e-directories on site, and elevator screen content

  • Maintain up to date tenant contact information, distribution lists, certificates of insurance and back flow prevention records

  • Assist with the administration of service contract documentation

  • Monitor tenants to ensure they are meeting the terms of the lease e.g. by tracking insurance held by tenants

  • Assist the operations supervisor, property coordinator and property manager as required

  • Assist in the preparation of lease proposals and letters of intent

  • Produce monthly leasing activity reports

  • Assess the suitability of prospective tenants through credit checking and research

  • Provide administration support related to preparation of various types of commercial leasing documentation

  • Work with the legal team in preparation of leases

  • Maintain computer systems with lease and tenant information

You Have:

  • A minimum of 2 years’ experience in a similar position within commercial real estate

  • Experience with Yardi Voyager

  • Excellent attention to detail

  • Effective organizational and time management skills

  • The ability to show initiative and be a strong problem solver
